Booked, Then Ghosted: The Dark Side of Low-Budget Wedding Vendors

There’s a growing trend in the wedding industry where newer or unethical vendors will book clients far in advance at low rates just to fill their calendars. Months later, when they get offered a better-paying event, they cancel or disappear. The result: panicked couples scrambling to find a replacement weeks before the biggest day of their lives. If that happens, you face a scramble and a premium. Last-minute replacements often cost ultra-premium rates, and some couples end up effectively paying twice—once to the original vendor (retainer you may not recover) and again to the emergency replacement.

Many couples don’t realize part of what they’re paying for (in addition to talent and experience) with a reputable vendor is “date security” — the commitment that once your date is locked, the vendor will turn down other opportunities, even if a more lucrative offer comes in. That’s what professionals call ‘missed opportunity cost,’ It’s the financial and ethical cost of honoring your commitment.

Hiring a professional isn’t just about getting someone that knows what they’re doing. You’re investing in dependability, professionalism, and commitment. A true professional locks in your date, turns away dozens of other potential clients (sometimes at higher rates), and guarantees that your event is covered and will run smoothly.

Additionally, many newer or lower-budget vendors lack proper liability insurance and backup equipment, which adds unnecessary risk to an event as important as a wedding. Most couples also don’t know which questions to ask to distinguish between an inexperienced vendor and a seasoned professional who’s prepared with contingency plans.

The REAL budget vendors don’t always tell you!
  • 40% of your budget should be the venue, catering/food, and dessert(s).
  • 15% should cover your Planner / Day Of Coordinator (DOC)
  • 15% should cover your Entertainment – They WILL make or break your day.  If no one is having a great time, memories will not be made, your guests will forget your day, and your photos of grumpy people won’t be much to look at.
    • If a vendor you are looking at doesn’t have pricing anywhere on their site, or doesn’t list real videos, pictures, or reviews on their website, that’s a!
  • 15% should cover your Photographer AND Cinematographer
  • 8% for your Florals
  • 2% for Transportation
  • 2% for Stationary
  • 3% for an Emergency Surplus – to use if and when you want to spend a few extra $$$ on something fun!
We hope that makes sense and gives some context of vendor pricing.
